We take the protection of your privacy very seriously and want to reassure you that we make every effort to keep your data secure. This privacy notice explains how we handle your data, what rights you have, and how to contact us with questions.Β

In this privacy statement, we explain what we do with that information. This policy applies to all data collected through the Tripleblue platform.Β
We reserve the right to change our privacy statement if this is necessary due to (technical) circumstances. In these cases, we will also amend our data protection information accordingly. We therefore recommend that you review this privacy statement regularly so that you are aware of these changes.

1. When do you apply this privacy notice?
This privacy statement applies to all personal data we process and to all domains related to us. It covers the personal data of anyone who has contacted us or used our Application or Mobile Application, such as visitors, customers and business contacts. Personal data is any data that can be traced back to you as an individual, such as your name, phone number, IP address, customer number or browsing habits.Β
This includes personal data that we access when you use our services, where audio and other documents are uploaded by you. We use uploaded audio, uploaded documents and user-perfected minutes to improve our models and user experience.
2. Who uses my data?
Tripleblue is the responsible organization for the use of your personal data as described in this privacy statement. Full details are:

3. Whose data do we use?
We process the personal data of anyone who has contacted us or visited our website. These include visitors, private customers, business customers and contacts of our partners.
In addition, we process personal data contained in the audio files and other documents or data uploaded by you when you use our services through the Application or Mobile Application.
Should you use the Digital Assistant to make an audio recording, we will use the audio and visual data from the online meeting in Teams, Google Meets, Zoom or similar software to perform the service. Should you use an integration/connection with External software, we will read the relevant information about the meetings from this software to perform the service.
4. How do we get your data?

5. What data do we use from you?
If you use the Application for informational purposes only, that is, if you do not create an account or enter other data on our Application, we collect only the personal data that your browser sends to our server.Β
To keep our website up-to-date and functional, we collect various information about you and your usage. When you register on the Tripleblue platform, we collect the necessary information such as your name, email address and contact information to allow you to log in and use the site as a customer. If you contact our customer service via email or chat, we may retain the text of these conversations. We may also record telephone conversations with our customer service team for training purposes.
In addition, we collect information about the use of our website, Application, Mobile application and other digital media of the Tripleblue platform. When visiting the Tripleblue platform, using our Mobile app or receiving our newsletter, we may in certain cases record your IP address, geolocation (based on your IP address), browser type, device information, the referring website, usage patterns and interaction events (such as page views and favorites). We may automatically receive a notification when you open a newsletter or click on a link in the newsletter.Β
When creating an account and/or signing a contract and/or agreement with Tripleblue B.V., we collect personal information to the extent permitted by applicable law, such as: Personal data (such as your name, gender, date of birth, telephone number, address and place of residence), Financial information (including payment details), Professional information such as your job title and work experience and the information containing personal data in documents and files that you record or upload through the Tripleblue platform (e.g. audio and PDF documents). Finally, we receive personal data if you use the Digital Assistant through our platform (e.g. audio recording of the online meeting and the names of the participants) and personal data retrieved if you decide to integrate/link with External software for elaborating the minutes (e.g. information about the meeting, names of the participants).
6. What do we use your data for?
We use your personal data and the personal data uploaded or created by you only for the purpose for which we are authorized to use it:
we have received your consent to use your personal data while signing the service agreement, an annual contract and/or while creating an account on app.triple.blue
we use your personal data to perform services, prepare and execute agreements.
When uploading files containing personal data of persons who do not involve yourself, it is important that approval has been given by these persons for recording the audio of the meeting for the purpose of developing the minutes.Β
In brief, we use your personal data for the following:Β
1. Provision of services: Tripleblue B.V. processes your personal data to elaborate minutes and to make these results available via the Tripleblue platform for final quality control.
2. Account management: When creating an account on the Tripleblue platform, we ask for personal information, such as your email address, first and last name, to allow you to log in and personalize our services.
3. Newsletters: Tripleblue B.V. may send you newsletters if you have created an account or signed up for our newsletter. These may contain company news, offers, and personalized content. Unsubscribing can be done through a link in the newsletter or by sending an email.
4. Personalized marketing: We use automated tools to analyze your data, such as browsing habits and purchases, to tailor our marketing to your interests and preferences.
5. Research and improvement: To improve our products, services and communications, we regularly conduct research, such as surveys and interviews. This may be in collaboration with external partners and with input from our customers.
6. Improve app experience: Through the app, Tripleblue B.V. may ask you for permission to use your data so that we can offer you relevant suggestions and information while using our services.
7. Fraud prevention: To prevent fraud, we process your email address and payment information in cooperation with our payment service providers.Β
8. Laws and regulations: Tripleblue B.V. must comply with various national and international laws, including the storage of certain data related to the use of our services.
9. Customer Service: Tripleblue B.V. may use your personal data to provide better customer service.
7. How long do we keep your data?
We keep your personal data for as long as there is an active business account on the Tripleblue platform and as long as necessary for the purpose for which we use your data within our services.
Audio files processed in our systems, once the task is completed, are kept for 30 days after which they are automatically deleted.
This does not apply to data such as audio or agenda information that has been uploaded but has not yet been submitted as a note-taking task to be worked on and therefore has not yet entered our processing pipeline; these are not automatically deleted after 30 days. It is the client's responsibility to ensure that these tasks are created for processing or deleted as drafts to thereby delete the underlying data as well.Β
Agenda files, the results of minutes and other information we keep on our platform until it is decided by the Client to delete the task and/or close the company account.Β
After the above retention period, we keep your data anonymized only for statistical purposes and to handle any complaints or legal matters. If you would like to know more about how long we keep specific data about you, please contact us at privacy@triple.blue.Β
8. With whom do we share your data?
In order to provide our services properly, Tripleblue B.V. shares data with Tripleblue GmbH. Tripleblue GmbH is the parent company of Tripleblue B.V. and responsible for the development of the Tripleblue platform. A processor agreement has also been drawn up between Tripleblue GmbH and Tripleblue B.V. that establishes the terms of this data sharing. Tripleblue GmbH is based in Switzerland (MΓΌllheimerstrasse 55, 4057, Basel).Β
All data uploaded or collected through our platform is processed and (temporarily) stored within the European Economic Area (EEA), unless otherwise stated in this privacy statement. In some cases we use third parties to process the data. The personal data in these files is therefore sent to these parties and received back by us.Β
Results optimized by our human quality controllers are accessible only to the quality controllers working on the note-taking task, not to other individuals, third parties or companies. A strict "principle of least privilege" is applied, meaning that quality controllers can see your files only when they absolutely need to and only for the time absolutely necessary to perform the task.
9. Where do we store your data?
We process and store your data only within the European Economic Area (EEA). We ensure that all your data remains secure within the EEA.

10. How secure is your data with us?
We have taken great care to secure your data both organizationally and technically to the best of our ability. We have secured our systems and various means of communication to ensure that your data does not end up in the hands of others. So your data is safe with us. We also ensure that your data is only used by people who have received permission from us to do so.
11. What can you ask of us?
Because we use personal data about you, you have several rights. We list these rights for you below:
Right to information. We need to explain to you in a comprehensible and clear way what we do with your data and what control you have over it. Therefore, in this privacy statement we explain in detail what data we collect from you and how we handle your data.
Right of inspection. You may always ask us to see the data we have on you.
Right to correction. You may ask us to correct your data if it is inaccurate or incomplete.
Right to object. You may object to the processing of your data if you disagree with the way we handle your personal data. This right applies to the data we use for direct marketing. For example, you can indicate to us that you no longer wish to receive mail from us. This also applies to personalized recommendations on our website.
Right to data portability. If you are a customer of ours or have given us permission to use your data, you may ask us to send you the digital data we have on you. This allows you to transfer that data to another organization if you wish.
Right to restriction. You may ask us to limit the use of your data. This means that in certain cases we may only keep your data but not use it.
Right to be forgotten. You may ask us to delete any data we hold about you. We will then delete all data that can be traced back to you. In some cases we cannot or may not yet delete your data. For example, we have to keep some data for 7 years for tax purposes.
Right to file a complaint. You may file a complaint about the way we handle your data. If you have a complaint, we will be happy to resolve it for you. Please contact our privacy officer. You may also file your complaint with the Dutch Data Protection Authority. Of course we hope it will not come to that, but in extreme cases you may also go to court. In that case the court in the domicile of Tripleblue B.V. will handle your complaint.
Right to be informed about automated decision making. Should Tripleblue B.V. make an automated decision that could have legal consequences for you, you may have the right to speak with a Tripleblue B.V. representative to request a reconsideration of that decision. If so, you may no longer be able to use certain automated services.
How do I submit a request or complaint? Send your request or complaint to our privacy officer at privacy@triple.blue. We will process your request or complaint within 30 days. If it involves multiple requests or complaints or if your request or complaint is complex, this may take longer. In that case, we will contact you no later than 30 days to notify you of any extensions due to the complexity or number of requests. We may ask you to identify yourself. In that case, we will request information from you to ensure that you are the correct person whose personal data is
12. What rules apply to this privacy statement
Our privacy statement must comply with several conditions. In particular, these conditions can be found in the General Data Protection Regulation. In addition, the general rules that apply under Dutch law apply to our privacy statement.
13. What cookies do we use?
You can choose which of your data we can use. If you have given us permission to personalize your profile based on your browsing and search behavior, we can tailor our website to make it easier and more personal for you to use. We do this with the help of cookies. A cookie is a small text file that is placed on your hardware when you visit our website.

We do not specifically target minors with our website or as an organization. This means that if you are under 18 years old, you need permission from a parent or guardian to use our website. If you are a minor when you visit our website or webshop, we will assume that you have obtained this permission prior to your visit.

Our services
Tripleblue B.V. offers the Tripleblue platform with the goal of automating administrative processes such as taking minutes. The platform applies advanced artificial intelligence to generate accurate minutes.Β
Tripleblue B.V. is responsible for selling the software. By signing a contract and/or agreement with Tripleblue B.V., or by using the Tripleblue platform, you agree to the terms and conditions described in this document. Tripleblue B.V. reserves the right to revise these terms and conditions from time to time. Users of the Tripleblue platform are advised to check the current terms of use, as the latest version is binding.
The use of the platform is strictly bound by the terms and restrictions set forth in this Agreement. The Tripleblue platform is intended to provide the following services (hereinafter referred to as "Services"):
Upload audio/video files and agenda documents to our website for note-taking.
Using the Mobile application to record audio or upload documents
Invite a Digital Assistant to record an online meeting (e.g. Teams, Google Meets, Zoom)
Automatically create minutes from audio/video files and other documents.
Use of our online editor in the Application to easily edit the generated minutes.
Various options for exporting and sharing minutes in the Application.
Sending the minutes to External software (if a link is made)
Providing various services related to making processes more efficient
Pilot
Tripleblue B.V. offers new customers a free pilot for working out minutes. When you first sign up to the Tripleblue platform, 1 free task will be provided and added to your account. Your account will also include a demo video explaining how to use the platform.
This free task can be used for automatic elaboration of your meeting minutes using an audio/video file and agenda. You do not need to enter any payment information to enjoy the free note-taking task. However, please note that once you have used the free note-taking task, the platform will ask for your payment details.
If the Client and Tripleblue B.V. agree by e-mail to share the files for the elaboration of the pilot outside the platform, using the free note-taking service without having created an account on the platform, the following conditions will apply. It is expected from the Client that all shared files have been obtained legally and that permission has been obtained from all parties involved. Tripleblue B.V. accepts no liability for any consequences arising from the sharing or use of these files.
Fees & Subscriptions
When your free note-taking task has been used for automatic editing of your meeting minutes, you can choose one of the following options:
Starter: In the Starter Plan, you pay per car-minute you upload, at our standard rate. This plan includes the development of minutes, but does not include interfacing with External Software and the Digital Assistant. Minutes tasks in this plan are given lower priority compared to tasks under the Professional Plan.
Professional: The Professional Plan includes an annual contract where you pay a fixed fee for a pre-agreed number of hours at a discounted rate which saves you money annually for drafting minutes. Additional hours are charged at the same reduced rate. This plan offers full integration with External software, access to the Digital Assistant, and priority in working out minutes tasks. If you do not use the number of hours agreed upon in the annual contract (Professional) within the 365-day period after signing the contract, the unused hours will not carry over to the next year in your account. If you consume more hours in the 365-day period after signing the contract than the number of hours agreed upon in your annual contract (Professional), you can continue to upload files. However, you will receive an additional invoice at the end of the month for the hours consumed in excess of the agreed upon hours.Β
All rates for the use of the Tripleblue platform are adjusted annually in accordance with index figures to be published by the CBS.
Cancellations and charges for incorrect files or digital links
If a job is cancelled because an incorrect audio file, calendar or other supporting document was uploaded, we reserve the right to charge for work already done, such as processing the job and quality control.
Corporate accountΒ
Each user may only have one (1) active Tripleblue account. Tripleblue B.V. reserves the right to refuse the creation of duplicate accounts for the same user. In case of detection of duplicate accounts, we reserve the right to deactivate these duplicate accounts without notice.
After the pilot phase, a corporate account will be set up for the Client. The Client is fully responsible for managing access to the platform, including adding and removing users. If a user leaves the Client's company, it is the responsibility of the Client to notify Tripleblue B.V. in a timely manner so that the access of the user in question can be terminated. Tripleblue B.V. is not responsible for wrongfully granting access to employees who are no longer employed by the Client.
All persons added to the company account by the Client have access to all note-taking tasks within the platform. Tripleblue B.V. accepts no responsibility for any damage or consequences arising from data being viewed by persons who do not have permission to do so. The Client is responsible for timely and correct notification of changes regarding the addition or removal of users.
Delivery times
Tripleblue B.V. agrees to deliver files within one (1) to five (5) business days* after file upload. Business days are Monday, Tuesday, Wednesday, Thursday and Friday, excluding Dutch holidays.Β
If the file is uploaded on the Tripleblue platform before 16:00 CET, Tripleblue B.V. considers it uploaded on that business day. If a file is uploaded after 16:00 CET on a given day, the next business day is considered the upload date (e.g. if a file is uploaded before 16:00 CET on Monday, the file is ready no later than 16:00 CET the following Monday).
Quality control and liabilityΒ
Tripleblue B.V. publishes the results in the Application in a format that is editable so that the Client has the opportunity to perform a final quality check before the results are finally published (possibly in External software). This enables the Client to identify and correct any errors, inaccuracies or imperfections before the results are shared or further used.
The Client acknowledges that the use of the Tripleblue Services depends in part on the information and data provided by the Client. Tripleblue B.V. is not liable for any damage or loss resulting from errors, inaccuracies, or incomplete information provided by the Client. The final responsibility for the final quality control of all data and results lies with the Client at all times.Β
Tripleblue B.V. accepts no liability for any direct or indirect damage resulting from inaccuracies, untruths or imperfections in the information made available through the platform. The Client is responsible for verifying the accuracy of the information and taking appropriate action if inaccuracies are found.Β
If Tripleblue B.V. is nevertheless held liable by the Client, Tripleblue B.V.'s total liability to the Client shall never exceed the amount paid by the Client for the services in the three (3) months preceding the incident that caused the liability.
Refund Policy
To ensure that our customers are familiar with our product and its quality, we offer a one-time free note-taking service for our minute-taking software. Therefore, we do not offer refunds based on the level of satisfaction with the quality of the final product. In case of a technical error, Tripleblue B.V. will make every effort to solve the problem or offer compensation.
In the case of a Starter plan, there is no minimum term. In the case of a Professional plan (annual contract), the minimum term of this subscription is twelve months. This means that if you cancel your subscription after six (6) months, you will still be billed for the full twelve (12) months. Therefore, Tripleblue B.V. cannot offer a refund for the remaining months if you cancel early or if you forgot to cancel your subscription in time.
To ensure quality, a manual quality control can be performed to correct any errors according to Tripleblue B.V.'s guidelines. In this case the quality of the minutes is checked by our internal quality controller before delivery to the customer. Read more about this in our privacy statement.Β
If you believe the minutes do not meet the expected quality standards, you may contact us at support@triple.blue within five (5) business days of receipt. In that case, Tripleblue B.V. will conduct a review of the minutes within five (5) business days to improve the quality. In the exceptional case that the quality of the minutes still does not meet expectations, Tripleblue B.V., after consultation with the customer, will make a decision on possible refunds on a case-by-case basis.
Please note that high quality minutes can only be guaranteed for files with good/high audio quality, as this is an essential prerequisite for accuracy. For files with low audio quality, accuracy cannot be guaranteed. The assessment of audio quality lies with Tripleblue B.V..
Content on the website
All content on the Tripleblue platform is protected by copyright and other intellectual property rights. It is not allowed to copy or license any content on the Tripleblue platform without written permission from Tripleblue B.V..
Operations & customer service
Tripleblue B.V. strives to be fully operational 24 hours a day. If the website is unavailable for any reason, the company is not liable.
When registering for our services, customers must choose a password. Users are responsible for keeping their passwords confidential.
Tripleblue B.V.'s customer service can be reached during office hours (09:00 - 17:00 CET) on weekdays (Monday to Friday) by phone or email. Availability and corresponding times may vary on Dutch holidays.Β
For our minutes service, Tripleblue B.V. usually delivers an editable version of the minutes via our platform within one (1) to a maximum of five (5) business days. In case of the following rare events, Tripleblue B.V. is not bound by the service agreement regarding the editing time:
Scheduled maintenance.
Events beyond reasonable control.
When the quality of the audio, meeting structure or agenda is so poor that processing by the AI model is not possible.
Tripleblue B.V. has no obligation of result to its users. The quality of minutes is highly dependent on audio quality and the quality of the meeting structure. Background noise, agenda items not being kept as indicated on the agenda and, for example, people speaking at the same time, low quality microphones, low/bad recording quality, strong accents, can all reduce the quality of minutes. Users are responsible for testing the minutes during the trial note-taking task to get a good understanding of the expected results. Tripleblue B.V. never gives refunds due to disappointing quality. Audio quality is at Tripleblue B.V.'s sole discretion.
Privacy Policy
Because Tripleblue B.V. takes the privacy of its customers very seriously, several measures have been taken to ensure that it is maintained.Β

Your Content
Users may not upload files of the following nature:
Files containing another person's personal information without their consent.
Files containing information that encourages behavior that could be considered a criminal offense.
Files uploaded by the user without the right to use those files (e.g. copyrighted material).
Files that are technically harmful to us or the services of others.
Tripleblue B.V. reserves the right not to accept files or to refuse the elaboration of the minutes of any material submitted if it violates the above terms and conditions.
Fair Use Policy (FUP).
The Fair Use Policy (FUP) is designed to prevent improper or excessive use of the note-taking software by machines.
Tripleblue B.V. considers your use of our note-taking service to be excessive and/or unreasonable if it deviates significantly from expected usage patterns or potentially harms the operation of the service.
Tripleblue B.V. reserves the right to restrict, suspend or terminate your access to the Notification Service immediately and without notice if your excessive or unreasonable use continues, despite our request to stop or modify such use.
Use of Client's logo and other signs
Tripleblue B.V. is granted the right to use the Client's trademarks, trade names and logos (collectively referred to as "Signs"). This right is non-transferable, worldwide and non-exclusive, and applies only to the performance of the services under the Services Agreements. This right of use remains valid as long as the Service Agreements are in force. When using the Signs, Tripleblue B.V. must comply with the Client's instructions.
As long as the contractual relationship between Tripleblue B.V. and the Client lasts, Tripleblue B.V. may use the Client as a reference (for example on the website or in advertising materials) and use the Characters for that purpose. Materials that have already been printed do not have to be destroyed after the termination of the contractual relationship.
If a third party takes legal action against Tripleblue B.V. because of the use of the Signs, the Client shall fully indemnify Tripleblue B.V. against all claims, including the costs of court proceedings and reasonable legal counsel.
Tripleblue B.V. will remove any Sign from its website and marketing materials within seven business days of a written request from the Client.
